Overview
We are seeking a highly organized and proactive Executive Assistant/ Receptionist to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional clerical and organizational skills, with a strong ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our executive office, facilitating effective communication, and enhancing productivity.
Duties
- Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Maintain and organize files, ensuring easy access to important documents and information.
- Utilize DocuSign for document management and electronic signatures to streamline processes.
- Assist in project coordination by tracking deadlines, deliverables, and follow-ups on various initiatives.
- Prepare reports, presentations, and correspondence as needed for executive meetings.
- Manage Outlook Calendar for executives, prioritizing appointments and ensuring optimal time management.
- Act as a personal assistant by handling day-to-day tasks that support the executives’ needs.
- Facilitate communication between executives and internal/external stakeholders, maintaining professionalism at all times.
Requirements
- Proven experience in an administrative or executive assistant role with a strong emphasis on organizational skills.
- Proficiency in Microsoft Office Suite, particularly Outlook Calendar for scheduling and coordination tasks.
- Familiarity with DocuSign or similar electronic document management systems is preferred.
- Excellent verbal and written communication skills to effectively interact with team members and clients.
- Ability to handle confidential information with discretion and integrity.
- Strong attention to detail and ability to prioritize tasks in a fast-paced environment.
- Experience in project coordination is a plus, but not mandatory.
