Executive Assistant/Receptionist

Overview

We are seeking a highly organized and proactive Executive Assistant/ Receptionist to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional clerical and organizational skills, with a strong ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our executive office, facilitating effective communication, and enhancing productivity.

 

Duties

  • Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Maintain and organize files, ensuring easy access to important documents and information.
  • Utilize DocuSign for document management and electronic signatures to streamline processes.
  • Assist in project coordination by tracking deadlines, deliverables, and follow-ups on various initiatives.
  • Prepare reports, presentations, and correspondence as needed for executive meetings.
  • Manage Outlook Calendar for executives, prioritizing appointments and ensuring optimal time management.
  • Act as a personal assistant by handling day-to-day tasks that support the executives’ needs.
  • Facilitate communication between executives and internal/external stakeholders, maintaining professionalism at all times.

Requirements

  • Proven experience in an administrative or executive assistant role with a strong emphasis on organizational skills.
  • Proficiency in Microsoft Office Suite, particularly Outlook Calendar for scheduling and coordination tasks.
  • Familiarity with DocuSign or similar electronic document management systems is preferred.
  • Excellent verbal and written communication skills to effectively interact with team members and clients.
  • Ability to handle confidential information with discretion and integrity.
  • Strong attention to detail and ability to prioritize tasks in a fast-paced environment.
  • Experience in project coordination is a plus, but not mandatory.
